Proposal Actions Reference for Employees

PROPOSALS STEPS:

  1. Publish proposal from Add-in

  2. Stakeholders view, review, and approve

  3. Client view, review, and approve

    1. Client in showroom can pull up proposals on their phone to approve.

    2. coming very soon ability to pull up proposal and put it in “client view” for them to approve in-store.

    3. Also coming soon ability to send to in-store Surface for client’s review and approval

  4. Deposits must be paid in full (can be various forms or combination of forms in-person, ACH, CC)

** All proposals will be digitally approved. Clients not comfortable going through the proposal online will need to do be walked through the proposal online or on a showroom kiosk

REFERENCE TERMS/ACTIONS

  • Add Estimator notes (i.e. additional inclusions special provisions) that will display on the online proposal (if needed)

  • Add any documents through add-in with description. Any PDF or Image that the client needs to approve along with a particular User Total

  • Add Stakeholders can be more than designer and estimator if needed.

    • Must view and approve: Stakeholders will go to a logged in version of the proposal from link in log. They must expand, view, and review all items. At the bottom an “approve or reject” will be by your name.

      • APPROVE: Changes Stakeholder status from pending to approved in Add-in and on proposal.

        • Un-APPROVE is a manual process that requires a change from Aaron.
      • REJECT: Stops the proposal for going out regardless of other stakeholder’s response.

        • Requires stakeholder to describe why it was rejected.

        • Un-REJECT is a manual process that requires a change from Aaron.

    • All stakeholders approve/Client Send: when this is completed the client will automatically be emailed.

    • Override Option certain people are authorized to override a stakeholder’s need for approval in case of absence, availability, or other concerns

  • Publish Proposal from Add-In

  • Recall takes a proposal “offline” from a client’s view/access.
    **Recall reason needs to be addressed and then publish again before it will be available to clients.

  • Resend is how you send a reminder proposal to the client if it has been a week or so.
    **This is manual at this time until the full process is seen many times to be automated in a “drip system”

  • View Proposals in log will let internal employees see the proposal even if they are not stake holders
